Pet Business AI Receptionist Setup Checklist

The short answer

A pet business AI receptionist needs your service menu, duration and buffer rules, staff and resource availability, pet intake questions, vaccination or policy requirements, safety flags, cancellation rules, and human handoffs. It should also tell callers it is an AI assistant and avoid making medical or behavioral decisions. Use this checklist to turn the way your front desk actually books into clear rules that can be tested before launch.

Capture context and hand off to staff

  • List every bookable service and the staff or resource required to deliver it.
  • Record service durations, cleanup or travel buffers, capacity limits, and combinations that cannot overlap.
  • Choose the calendar that is the source of truth for availability.
  • Document business hours, blackout dates, booking lead times, arrival windows, and cancellation rules.
  • Define the owner and pet information required before a booking can be accepted.
  • List vaccination, record, deposit, and policy requirements that must be satisfied.
  • Identify medical, behavioral, medication, bite-history, and accommodation questions that always go to a person.
  • Write the human handoff path for uncertain requests, complaints, emergencies, and callers who ask for staff.
  • Approve the opening AI disclosure and the language used when a request cannot be completed.
  • Test normal booking, no availability, rescheduling, cancellation, multi-pet intake, missing records, and a safety flag before launch.

Services and calendar rules

List every bookable service, who can perform it, expected duration, cleanup or travel buffer, resource limits, and any combinations that cannot overlap. Add hours, blackout dates, lead times, cancellation rules, and the source of truth for current availability.

For boarding or daycare, document arrival and pickup windows, capacity rules, required records, and any request that needs staff review. For grooming, include service rules that vary by breed, coat, size, or condition without allowing the assistant to make a safety judgment on its own.

Pet intake and safety handoffs

Define the information required before booking: owner contact details, pet name, species, breed, age, service history, relevant handling notes, and the records your policy requires. Mark questions that must route to a person rather than produce an automated decision.

Create a human path for medical questions, bite history, severe anxiety, medication instructions, unusual accommodation requests, complaints, and anything outside the written booking rules. The assistant should capture context and hand off, not diagnose or guarantee acceptance.

Test before launch

Test a normal booking, a reschedule, a cancellation, a new client missing required information, a service with no availability, a multi-pet request, a caller asking for a person, and a request involving a safety flag. Confirm both the conversation and the final calendar record.

Review early conversations with the front desk and adjust the rules from real examples. Keep the first launch narrow enough that every accepted booking path is understood and every exception reaches the right person.

Common questions

Can an AI receptionist decide whether a pet is safe to accept?

No. It can collect the information your staff needs and route flagged cases for review. Safety, medical, and behavioral decisions stay with qualified people.

Will callers know they are speaking with AI?

Yes. The assistant should disclose that it is AI and offer the human path defined by your business.
